Customers
The business entity section of the program is where the information is entered about your customers. the system will track multiple addresses for each customer but allows you to select which address is the default billing and shipping addresses. With in each address you can have multiple contacts but allows you to select the default contact, recall contact and certificate contact. Each contact has multiple contact methods (phone, email, etc) Each customer has an extensive purchase order section that tracks all of the PO information including Numbers, Amounts (total, allocated and warn) Dates, Approvals, etc.Receiving
The receiving process allows you to receive one or multiple items (barcoded or not) from a customer that you have calibrated before or allows you to add a new item with very few keystrokes. The system will pull forward all of the customer notes and the purchase order notes for easy review. It also tracks the date received, how it was shipped and how it is to be shipped back. It is also tracking and job notes and accessories received.Billing
The Invoicing screen is used to generate invoices for work done within CalWorks. When the invoice screen is loaded, it is filled with certain default or auto-calculated data (if available), as well as any items ready to invoice for the selected PO number. Additional charges, parts used and costs, shipping and transportation charges can be added. When the invoice is completed it can be printed on the invoice designed just for you. All of the accounting data is then exported out ready to be imported in to the accounting program of your choice.Performing calibrations on site
You can really have it your way here. If you have placed the CalWorks program on the Internet, you can perform calibrations anywhere in the world. If your customer will give your lab access to the internet, your technicians can be entering the data straight into the database. You can see the work as it progresses and they can see the certificates just as fast. See the case study of this process for an excellent example of this process. If your customer will not provide you access, you could use a wireless Internet connection via your cell phone. Maybe you are in a secure location that will not allow cell phone connections then you would use the CalMobile feature of the program.Customer accessing their data
The easiest way for your customer to access the data using the CalView program. CalView provides your customer with instant access to their data over the Internet. It works with CalWorks to provide unlimited access to their data, calibration certificates, history, recall and past due information and status information. They can find out the progress of their instruments in the lab without making a phone call.Your customer also does some of their own calibrations
Here you have two options. The first option is for your customer to operate the CalTrace program. You can then transfer to them the data on items that you calibrate for them and that data will then be combined with the data for the items that they calibrate internally. This would require your customer to purchase the CalTrace program. The second option.What if you were able to offer to your customers the use of the exact same program and to store their data in the same database to do their calibrations? Look at some of the advantages of that.Customization
All of the screen that you see in CalWorks are call JSP (Java Server Pages). They can be modified for each group of users. You define what information they can see and edit. You will want to see and edit everything; you may want your technicians to see and be able to edit less information, have access to only certain parts of the program and run only a few reports; your customers to be able to see only their items, not be able to edit anything and only run a few reports on their items.
