Commercial Lab operation of CalWorks
Everything has been built into CalWorks to run a commercial lab. All of the receiving, billing shipping has been included.

Customers

The business entity section of the program is where the information is entered about your customers. the system will track multiple addresses for each customer but allows you to select which address is the default billing and shipping addresses. With in each address you can have multiple contacts but allows you to select the default contact, recall contact and certificate contact. Each contact has multiple contact methods (phone, email, etc) Each customer has an extensive purchase order section that tracks all of the PO information including Numbers, Amounts (total, allocated and warn) Dates, Approvals, etc.

Receiving

The receiving process allows you to receive one or multiple items (barcoded or not) from a customer that you have calibrated before or allows you to add a new item with very few keystrokes. The system will pull forward all of the customer notes and the purchase order notes for easy review. It also tracks the date received, how it was shipped and how it is to be shipped back. It is also tracking and job notes and accessories received.

Billing

The Invoicing screen is used to generate invoices for work done within CalWorks. When the invoice screen is loaded, it is filled with certain default or auto-calculated data (if available), as well as any items ready to invoice for the selected PO number. Additional charges, parts used and costs, shipping and transportation charges can be added. When the invoice is completed it can be printed on the invoice designed just for you. All of the accounting data is then exported out ready to be imported in to the accounting program of your choice.

Performing calibrations on site

You can really have it your way here. If you have placed the CalWorks program on the Internet, you can perform calibrations anywhere in the world. If your customer will give your lab access to the internet, your technicians can be entering the data straight into the database. You can see the work as it progresses and they can see the certificates just as fast. See the case study of this process for an excellent example of this process. If your customer will not provide you access, you could use a wireless Internet connection via your cell phone. Maybe you are in a secure location that will not allow cell phone connections then you would use the CalMobile feature of the program.

Customer accessing their data

The easiest way for your customer to access the data using the CalView program. CalView provides your customer with instant access to their data over the Internet. It works with CalWorks to provide unlimited access to their data, calibration certificates, history, recall and past due information and status information. They can find out the progress of their instruments in the lab without making a phone call.

Your customer also does some of their own calibrations

Here you have two options. The first option is for your customer to operate the CalTrace program. You can then transfer to them the data on items that you calibrate for them and that data will then be combined with the data for the items that they calibrate internally. This would require your customer to purchase the CalTrace program. The second option. What if you were able to offer to your customers the use of the exact same program and to store their data in the same database to do their calibrations? Look at some of the advantages of that.
  1. You are providing an additional service to your client that no one else can.
  2. Your customer does not have to purchase an additional program. All they need is a browser to bring up your program.
  3. There is no need to send them data to merge into another program. They can run reports on all of their items, as all of the data for items you calibrate and they calibrate will be one place, with you. You will than also have even more information on your customer's assets and can possibly offer additional services to them.
  4. Your support issues will be very limited, as they will be using the same program.
  5. You will have more information on your customer’s assets and can provide them with additional services.
  6. You customer will be joined to you forever.
How do we do that? First, we set in security for a new user that the user belongs to a specific customer(s). This means that they can only see information that belongs to that customer(s). You would also set the customer as a lab and then restrict them to see information that only pertains to this lab.. This would then allow them to perform calibrations for only that customer. He could not edit anything that was done by your lab or change things like recall dates on items that you calibrate and only certain information would be available for them to see. The screens would be limited to what information they could see and reports that they could run. Your customers could then with the proper security (User ID and Passwords) be able to perform calibrations at their facility on your system.

Customization

All of the screen that you see in CalWorks are call JSP (Java Server Pages). They can be modified for each group of users. You define what information they can see and edit. You will want to see and edit everything; you may want your technicians to see and be able to edit less information, have access to only certain parts of the program and run only a few reports; your customers to be able to see only their items, not be able to edit anything and only run a few reports on their items. Then again you may want them to edit one field, such as, item location. All of this is possible with CalWorks.

More benefits of a web-based system for a commercial cal lab

On a web based system you have access to your data 24 hours a day from anywhere in the world. That's right. One a Saturday night at home in your PJs or on vacation in Hawaii. You can check out what is happening in your lab.

What about sales? You could hire a sales specialist in even another part of the country. Give them a list of prospects and they can start calling. If they reach one of your clients they can not only find out everything that you have ever calibrated for them but they could also answer status questions of items in the lab and even do a customer follow up or a quality review.

The best way we can demonstrate all of this and also answer all of your questions is with a on-line demo. Make sure you register today.
